Purposes of processing and legal bases

Methods of processing 

Personal data provided or acquired will be subject to processing operations in compliance with the legislation and the principles established by the GDPR. Such data will be processed using IT tools and any other suitable means (e.g., paper-based), in compliance with the security measures provided for by the GDPR. In particular, the Data Controller undertakes to ensure the security and confidentiality of the personal data processed, by implementing all the technical and organizational measures necessary to guarantee their protection.

Disclosure of data 

The personal data provided will not be disclosed to the public but may be made accessible, where necessary, to: 

• External parties such as, where involved, external collaborators, tax consultants, legal advisors or other professionals, banks, insurance companies, third-party service providers (e.g., hosting and web infrastructure providers, remote collaboration application providers, etc.), and similar entities.

• Public or private entities that may access the data in compliance with specific legal obligations.

In any case, the Data Controller undertakes to comply with the principles set out in the GDPR and, where possible, to anonymize such data. 

Transfers of data outside the EU 

Certain personal data, limited to specific processing activities, for example, cloud-based services, may be transferred to countries outside the European Union. To ensure the security of such transfers, only entities providing the necessary guarantees to implement appropriate technical and organizational measures are engaged, so that the processing complies with the provisions of Regulation (EU) 2016/679. Therefore, no additional consent is required.

Data retention period 

Personal data will be retained for the time necessary to process them in relation to the provision of the requested service or for the time required to fulfill the purposes outlined in this Privacy Notice. In particular, technical and IT-related data will be retained for the time necessary for their processing and for carrying out security procedures and technical analysis, unless otherwise required by law.

Data collected for administrative, tax, commercial, and legal purposes will be retained for the time necessary to fulfill such purposes and in accordance with applicable legal requirements. Data processed on the basis of the Data Controller’s legitimate interest will be retained for the period permitted under Italian law to protect such interest. Data processed on the basis of consent may be retained until such consent is withdrawn.

The Data Controller may retain data for a longer period where required to comply with legal obligations, by order of an authority, or where necessary to establish, exercise, or defend the Data Controller’s rights.

At the end of the retention period, personal data will be deleted and, consequently, the rights relating to them may no longer be exercised.

Periodic reviews are carried out on the data processed and on the possibility of deleting them if they are no longer necessary for the stated purposes.
